Drivers and workers can start a form with a simple scan of a QR code or tap of a link. This eliminates reliance on pre-scheduled assignments and prevents workers from having to manually navigate the Samsara Driver App which slows down response times and can make spontaneous form entry difficult, particularly for distributed teams or time-sensitive workflows.
QR codes and direct Samsara Driver App links support faster, easier data capture in time-sensitive and high-frequency workflows such as:
-
Equipment inspections: QR codes can be posted directly on assets
-
Site safety walkthroughs: Forms can be triggered at site entry
-
Near miss and incident reporting: QR codes can be posted near safety stations
-
Work order initiation: Links can be shared through task management systems
Note
Connected Workflows QR codes and links only work in directing drivers and workers to the Samsara Driver App. It does not support browser-based form submissions.
By enabling instant form access through QR codes or a direct link to a form improves workflow efficiency, safety responsiveness, and form completion rates. To learn more about how to enable your workers to access the form through QR codes or direct link, choose a method:
You can enable QR code access to asset details within the Samsara Driver App Map, which displays all available forms for the asset. The worker or driver can then select the appropriate form to fill out. To provide QR code access or a link directly to a specific form, see Enable a Direct QR Code or Link Access to a Form. To see what the Samsara Driver App Map looks like to drivers, see Samsara Driver App Map.
Use the following workflow to set up QR code access to a selection of forms related to an asset:
-
Select the Settings icon (
) at the bottom of your Fleet menu to view dashboard settings.
-
In Fleet settings, select Asset QR Codes.
-
Select one or more assets for which you want to set up QR code access.
-
Click Download badge with QR code.
-
Select a file format and then Download.
The asset name displays as text below the QR code for clarity on which asset the QR code links to.
When the worker or driver scans the QR code on their mobile device, the Samsara Driver App navigates to Asset Map > Asset Details, and a section displays all forms available for the asset, including issue templates. From here, the worker or driver can select and complete a form which is pre-filled with the associated asset (if the template includes an asset field).
You can enable QR code access or a direct link to a form within the Samsara Driver App.
If you'd like for your driver or worker to be able to choose a form from a list of all forms for an asset with a QR code (links are unavailable through this option), see Enable QR Code Access to an Asset Details in the Samsara Driver App Map.
Use the following workflow to set up a direct QR code or a direct link to a form:
-
From the Samsara dashboard, select Forms > Templates.
-
Select the more actions ( ••• ) menu next to a form and choose Settings & Access.
-
Under the Link and QR code, select Copy link and share the link with relevant drivers or workers.
You can also Download QR code and post the QR code in relevant locations.
The asset name displays as text below the QR code for clarity on which asset the QR code links to.
When a worker or driver scans the QR code or clicks the shared link on their mobile device, the Samsara Driver App opens directly to the form, if it's installed. If the Samsara Driver App is not installed, they are prompted to download it. From here, the worker or driver can complete the form and submit it as usual.
