To ensure that forms are assigned efficiently and completed on time, Connected Workflows supports ongoing access control for users, trigger-based assignments, and schedule-based assignments. These features enhance workflow management, accountability, and data quality within your organization.
Select an option to learn more about each feature:
You can give or restrict worker or driver access for specific form templates. This ensures users only see the form templates they have been given access to in the Samsara Driver App and prevents overwhelming users with all of the forms in your organization, so they can focus on the forms relevant to them. If they are assigned a form through another method (trigger-based assignment, schedule-based assignment, driver workflow, or API), they will still be able to fill it out from the task.
Access is dynamically updated based on changes to tags. If a driver or worker is added to a tag, they automatically gain access to the templates associated with that tag. Conversely, if they are removed from a tag, they lose access.
To manage ongoing access to a form template for workers or drivers, perform the following workflow:

From the Samsara dashboard, select Forms ( ) > Templates.

Click the Manage Access icon on the template row.

Use the drop down menu to select who can access the form.
You can choose No workers, Select workers and tags, or All workers.
If you Select workers and tags, you have the additional option to search and add specific users.

Save.
From Alerts ( ), you can create alert configurations to automatically assign forms in response to specific events, also known as triggers. This ensures forms are assigned promptly based on real-time events. For example, you can configure a geofence alert so if a delivery driver enters the geofence of their final destination, the Samsara Driver App automatically triggers a Proof of Delivery form for the driver to fill out.
Drivers and workers receive alert notifications in the Samsara Driver App, which informs them of their new Forms task based on the trigger event to ensure they are immediately aware of their responsibilities.

Only some alert triggers support the Assign Form action. To learn more about each trigger and to see a comprehensive list of all triggers, see Alert Triggers.
From Alerts ( ), you can create schedules that assign forms to workers and drivers on a recurring basis. Schedules can be set to assign forms daily, weekly, monthly, or at custom intervals dependent on the needs or your organization.
Drivers and workers are notified of their scheduled tasks in the Samsara Driver App, and can see the next scheduled form in their inbox and complete it as required.
