To ensure that forms are assigned efficiently and completed on time, Connected Workflows supports one-time assignments for workers and drivers, recurring assignments, and trigger-based assignments. These features enhance workflow management, accountability, and data quality within your organization.

You can assign a form to a worker or driver to complete just one time. This is helpful for documents such as new hire and onboarding forms, accident reports, or other legal, policy, or compliance-related forms that only need to be completed once.
To assign a form template to workers or drivers for one-time completion, perform the following workflow:
You can create schedules that assign forms to workers and drivers on a recurring basis. Examples of recurring forms include daily pre- and post-trip checklists, weekly maintenance logs, or quarterly or annual performance review self-evaluations. Schedules can be set to assign forms daily, weekly, monthly, or at custom intervals dependent on the needs or your organization.
Drivers and workers are notified of their scheduled tasks in the Samsara Driver App, and can see the next scheduled form in their inbox and complete it as required.
Access is dynamically updated based on changes to tags. If a driver or worker is added to a tag, they automatically gain access to the templates associated with that tag. Conversely, if they are removed from a tag, they lose access.
To create a recurring form assignment, perform the following workflow:

From the Samsara dashboard, select Workflows (
).

Click Assign on the template, then select Via Automations.

Within Triggers, select when you'd like the schedule to start, select an optional end date, what time the form is sent to the worker or driver, and how often the form is sent (Daily, Weekly, Monthly, or Custom Repeat).

Within Actions, assign a Form Template, use the search bar to search by tag, worker, or driver and select who is assigned to the form, and then choose how long the worker or driver has to complete the form.

From Alerts ( ), you can create alert configurations to automatically assign forms in response to specific events, also known as triggers. This ensures forms are assigned promptly based on real-time events. For example, you can configure a geofence alert so if a delivery driver enters the geofence of their final destination, the Samsara Driver App automatically triggers a Proof of Delivery form for the driver to fill out.
Drivers and workers receive alert notifications in the Samsara Driver App, which informs them of their new Forms task based on the trigger event to ensure they are immediately aware of their responsibilities.
