The Approval workflow facilitates a structured review process for form submissions within your organization. For organizations with access to the Approval feature, this workflow enables an Approver, such as a supervisor or manager, to review a form and request changes prior to completion. The approval process enhances accountability and compliance, and ensures that forms meet required standards before they are finalized. For example, if a worker submits an inspection form, it would go through review with a safety manager first.

Two contributors are involved in the approval process: the worker and the Approver. When a worker submits a form to a selected Approver, the Approver gets emailed a notification link to the form submission. To review submissions as an Approver, perform the following workflow:

View the form through the emailed notification link, or directly on your Submissions dashboard by selecting the submitted form with the Needs Review status.
The Submissions dashboard can be filtered by approval Status so you can quickly view all Needs Review submissions.

After you review the form, and you need the worker to make additional changes to their submission, you can Request Changes in the drop down menu in the upper right-hand corner.
To Request Changes:

Leave a comment on what needs to be updated by the worker.

Include an optional due date for which worker must complete the updates.

Click Request Changes.
Workers are notified and reassigned the form as a task in their Samsara Driver App inbox, which includes your comments for required corrections.

If there are no further updates or actions required for the form, Approve the submission.
If desired, you can also leave an approval comment.
After you Approve, the form status is updated to Approved on the Submissions dashboard, which indicates form completion. Workers are notified through their Samsara Driver App inbox that their form is approved.
Admins can adjust settings on a per-template basis on whether a form requires approval prior to completion.
To require approvals on a form template, perform the following workflow:

From the Samsara dashboard, select Forms (
) > Templates.

Edit or create a form to open the template builder, then click the Require approvals toggle at the bottom of the template.

Select Approvers by role.
This limits the list of admins a worker can select in the app to approve their submission. If you do not select roles, by default workers will be able to see users that share their own tag (such as admins in their location) if applicable, as well as any admins with entire organization access.
