Accurate driver assignment is important for tracking trips, mileage, drive time, and safety events. If your fleet cannot use the Samsara Driver App, has high driver turnover, or has logistical difficulties distributing tokens or cards, you can use a dual-facing Samsara Dash Cam (CM32 or CM34) with a personalized QR code instead.
When you Configure and Send QR Codes for Driver Assignment, drivers can assign themselves to a vehicle with a Vehicle Gateway (VG) and dual-facing dash cam by scanning their personalized QR code on the inward-facing lens. You can also enable optional in-cab alerts to remind drivers to scan. These alerts stop once the driver scans successfully or when the audio reminder threshold is reached.
Warning
Using QR codes for driver assignment does not substitute for the Samsara Driver App to manage Hours of Service. For HOS reporting, you must use a VG as an ELD in combination with the Samsara Driver App.
If you enable the optional in-cab alerts, when drivers are ready to make a trip and start the vehicle, the dash cam prompts them to scan the QR badge, within approximately 30 seconds. After the dash cam successfully recognizes the QR code, it stops the audible reminders and plays a success message. When you enable this setting, you can configure the frequency and duration of the audible reminders.
Note
In-cab reminders will play regardless of the driver assignment method used. For example, if a driver signs in using the Samsara Driver App, the reminder to sign in using the QR code will still play.
After you send a QR code access link, drivers have up to 30 days to access their QR code from the link. After drivers click the link, they can view and download their QR code to their mobile devices for easy QR code retrieval.

Caution
To ensure accurate reporting, drivers must not share their unique QR code or use another driver's QR code. Samsara is not responsible for driver misuse of QR codes.
QR code driver assignment is set on a per-vehicle basis; all drivers who use this vehicle must use this assignment method. However, if you utilize Automatic Driver Recognition (Camera ID), you may choose to retain Camera ID as a backup method.
Certain vehicle selections will override a QR code-based assignment. For more information regarding the driver to vehicle assignment hierarchy, see Driver-to-Vehicle Assignment Hierarchy and Priorities.
If you elect to print the QR code or to use your mobile device, use the following recommendations for best scanning results:

Use matte paper for printing: Regular printer paper or cardstock is best.

If laminating, choose matte or low-gloss lamination: Shiny surfaces can make scanning harder.

Avoid plastic surfaces for printing: QR codes may not scan correctly on plastic.

Adjust screen brightness on mobile devices: Set screen brightness to medium, since full or low brightness can prevent the dash cam from detecting the code.

Do not alter the QR code format: Keep the provided padding and layout so the dash cam can scan correctly. The image below shows acceptable and unacceptable formats.
Use the following workflow to set up or revoke QR code assignments, or to access driver QR codes. When you send a QR code link, Samsara uses the phone number saved in the Driver Profile Settings. If no number is saved, update the driver profile with a phone number before sending the link to their mobile device.
To configure QR codes, you must be a Full Admin or have a custom role with Driver Assignment access to Edit for the Manage QR Codes permission.

Select the Settings icon (
) at the bottom of your Fleet menu to view dashboard settings.

In Fleet settings, select Driver Assignment.

Enable QR Code Assignment.

Before you configure and save the QR Code settings, click Share or print QR codes to view QR Code Assignments.

Select the drivers to receive a QR code and select method of delivery:

Text a QR code access link: Click Text QR Code to send a mobile message the device of each driver.

Download QR code badge: To print or email the QR codes to your drivers, click More Actions > Download badge with QR code. See Driver Assignment Best Practices and Printing Recommendations for printing and mobile usage recommendations.

Configure the QR Code Assignment settings:

Assignment timeout threshold: Enter the minimum time of vehicle inactivity to end the assignment (5 minutes or greater). If the vehicle remains stationary for the set time, the driver will automatically be disassociated from the vehicle and the assignment will end.

Sign in audio reminders: When enabled, you can configure the frequency and duration of the in-cab reminders:

Frequency: Set the Frequency to play the dash cam audio reminder to sign in (every 1 minute (default), 3 minutes, or 5 minutes).

End reminders: Select when to end reminders if the driver has not yet signed in and begins a trip: When the trip starts (default) or enter the number of reminders to play at the start of the trip.

To enable or disable your settings for specific vehicles, click Edit Individual Vehicles. Click Edit on the vehicle row and select the Driver Assignment setting (Default to Organization Setting (ON) (default), Enabled, Disabled).
By default, QR Code Assignment setting applies to all vehicles with an inward-facing dash cam.

Save to confirm the settings.
Settings become live in the selected vehicles as soon as you save these settings. Ensure you have distributed QR codes to drivers before you save your settings.

To revoke a badge and deactivate the QR code link, from Driver Assignment, click Share or print QR codes and select one or more drivers. Click More Actions > Revoke QR Code and click Revoke Code to confirm the change.
