The Samsara ID Card Reader leverages Radio Frequency Identification (RFID) technology to provide increased visibility into drivers in your fleet as well as student and passenger transit systems. Each Samsara ID Card (or compatible third-party RF-based ID card) contains a unique identification number.
When used for driver visibility and vehicle assignment, each driver is issued an ID card.
ID cards do not substitute for the Samsara Driver App to manage Hours of Service (HOS). To comply with regulations for HOS reporting, you must use a Vehicle Gateway in combination with the Samsara Driver App.
The ID Card Reader logs and securely transmits drive time, date, and location data to the Samsara Cloud. As part of Samsara's powerful IoT platform, the ID Card Reader enables fleets to combine driver data with real-time GPS and camera data, delivering improvements in driver safety, operational efficiency, and route planning.
When drivers start a trip, they tap their ID card against the Samsara ID Card Reader. The assignment is successfully registered if the card reader beeps and the light flashes green. To ensure proper assignment, drivers should tap their card before driving.
By default, drivers have 30 minutes after tapping to begin driving. If the vehicle doesn’t start moving within that time, the tap won’t count and the trip won’t be assigned to that driver. Fleet administrators can adjust the Assignment Timeout threshold from the ID Card Assignment settings.
Drivers remain assigned to the vehicle until one of the following happens:

Tap in a new vehicle: The driver taps their ID card on the reader in another vehicle, transferring the assignment.

Another driver taps in: A different driver taps their ID card on the reader in the current vehicle, replacing the original driver’s assignment.
In the Samsara Driver App, a manual vehicle selection overrides an ID card assignment. An ID card assignment also overrides any Static Vehicle Assignment. For accurate reporting, we recommend that fleets with ID cards do not use Static Vehicle Assignments.

Use the following steps to assign ID cards to drivers in the Samsara dashboard:

Select the Settings icon (
) at the bottom of your Fleet menu to view dashboard settings.

In Fleet settings, select Driver Assignment.

Enable ID Card Assignment.

Assignment timeout threshold: Enter the minimum time of vehicle inactivity to end the assignment (5 minutes or greater). If the vehicle remains stationary for the set time, the driver will automatically be disassociated from the vehicle and the assignment will end.

To provide in-cab alerts that prompt the drivers to sign in, confirm a successful sign-in, and remind drivers to sign in if they have not done so, enable Sign-In Audio Reminders. If this is not enabled, drivers will not be prompted to sign in or hear success messages.

Set the condition for when Reminders end if a driver does not sign in.

Select When a trip starts to suppress reminders while the vehicle is in motion.

Select After X reminders following the start of a trip to continue reminders once the vehicle is in motion.
Warning
When enabled, alerts continue until a driver has signed in. Carefully consider whether this behavior is desired before enabling this option.

Before you begin, Install an ID Card Reader in the vehicles for which you want drivers to use ID cards.

Select the Settings icon (
) at the bottom of your Fleet menu to view dashboard settings.

In Driver App, select Drivers.

Locate the driver for whom you want to assign an ID card.

Click the more actions menu ( ••• ) in the row for the driver and select Edit.

Locate the ID code associated with the physical card.
For Samsara ID Cards, the unique ID value is located on the card. For third-party ID cards or unreadable Samsara IDs, you can use an ID Card Reader with a computer and spreadsheet application to scan and export the ID code to the worksheet.

Under ID Card Code, enter in the number associated with the physical ID card (you can omit the leading 0), and Save the driver settings.

Review the driver's details to confirm the ID card is correctly associated.

Enable ID Card Assignment and configure the setting.

Save to confirm the changes.
