The Media Library provides a centralized location for managing asset and installation photos, making it easier to track and verify assets. Photos can be uploaded seamlessly when using the Fleet App for new hardware installation or added later to existing assets for improved identification in the asset details and Assets Summary (Overview ( ) > Assets).
Note
Permissions: To adjust the photo settings, you must have a Full Admin or Standard Admin role, or a custom role with permissions to edit settings for the organization (Settings > Additional Admin Settings).
By default, one asset photo is required to be captured during installation, and that photo must be taken using the device camera—installers cannot select a photo from their device's photo library.
These settings can be adjusted in your Installation Settings (Settings ( ) > Devices > Installation).
Note
Permissions: To create, edit, or delete photos in the Media Library, you must have a Full Admin or Standard Admin role, or a custom role with permissions to view and edit gateways (Essentials > Gateways).
The Media Library stores all asset and installation photos, where they can be viewed, edited, or deleted as needed.
Photos can be uploaded in two ways:
-
During Installation: When installing new hardware using the Fleet App, asset photos are captured and stored in the Media Library automatically:
-
The first asset photo taken during installation is automatically set as the asset profile picture.
-
If needed, administrators can upload additional photos and select a different profile picture later through the Samsara dashboard.
-
If no asset photos are taken, the system will use the DVIR walkaround photo as the profile picture (front walkaround for vehicles and back walkaround for trailers). If no DVIR photo is available, a placeholder illustration will be used instead.
Uploading a new asset photo will replace any DVIR photo being used as the profile picture.
-
-
After Installation: Additional photos can be uploaded to the Media Library to update asset records and improve identification. Admins can upload up to 50 photos at a time, with a maximum of 500 per asset
To manage photos for an existing asset:
-
From Fleet Overview (
) > Assets, locate or search for the asset from the list.
-
Select the asset to view the asset details.
-
Expand the Media Library and click Open Media Library.
-
To upload new photos, click + Add Photo. For guidelines, see Photo Requirements and Best Practices for Asset Photos.
-
To delete an existing photo or set it as the asset profile picture, click the more actions ( ••• ) menu and select the option.
To ensure consistency and avoid upload errors, asset photos must meet specific requirements:
-
Accepted formats: JPEG, PNG
-
Maximum photos per asset: 500
-
Upload limit per session:
-
50 photos (Media Library)
-
10 photos (Samsara Fleet App)
-
An upload attempt will display an error message if the file does not meet these requirements or if the device is not connected to WiFi. Verify file formats, upload limits, and your WiFi connection before retrying.
Asset and installation photos can be useful for tracking, verification, and troubleshooting. They help confirm hardware installation, support audits, and serve as references for future installs. Following these best practices can improve the quality and usefulness of your photos.
Asset photos make it easier to identify and verify assets in the system. For better accuracy and usability:
-
Select a clear profile picture. The first uploaded photo is automatically set as the asset profile picture. Choose an image that shows the front or full length of the asset.
-
Take high-quality photos. Use well-lit and focused images to prevent blurry or unclear details.
-
Capture multiple angles. Photograph the front, sides, back, top, and bottom to create a complete visual record.
Installation photos can help document hardware placement, support audits, simplify troubleshooting, and serve as a reference for future installations. If you choose to take installation photos, consider capturing:
-
Device placement, whether inside or outside the asset, to document how and where the device was installed.
-
Cable connections, such as VG to OBD or CM to VG, to help confirm proper setup.
-
The asset’s exterior, to provide visual confirmation that the device was installed in the correct asset.
-
The device box, showing the serial number and type for accurate record-keeping.
