You can customize your organization’s data retention policies for the following categories of data:
- Hours of Service (HOS) data relevant to U.S. Federal Motor Carrier Safety Administration (FMCSA) regulations
- Driver Vehicle Inspection Report (DVIR) data relevant to U.S. FMCSA regulations
- Camera data, which includes images, video footage, and accompanying audio data (only if you enabled audio capture)
The data retention period for each data category (HOS, DVIR, and camera data) can be configured independently.
To enable custom data retention periods for the above categories of data, please have your account owner contact Samsara support via a written request. In response, Samsara will enable your requested data retention period.
Settings -> Advanced -> Data Retention
What custom data retention time periods are available for me to access the data?
HOS data: 6 months (184 days) or duration of contract (default)
DVIR data: 3 months (92 days), 6 months (184 days), or duration of contract (default)
Camera data: 28 days, 30 days, 6 months (default in the EU unless specified), or duration of contract (default outside of the EU)
What does deletion mean with respect to setting custom data retention policies?
Deletion means permanently removing the data from the applicable category from Samsara Cloud. Once deleted, the data is not recoverable. Only data within the retention period is saved and accessible.
Will updating my data retention policy permanently delete data?
Any changes to your custom data retention policy will permanently delete the data from the applicable category prior to the data retention period. You cannot undo the deletion. Once this change is made, you will not be able to recover deleted data by setting the retention period to a longer period of time.
When will data be deleted according to its custom data retention policy?
The data from the applicable category outside the retention period is purged every night at 12am UTC.
Data Retention for Camera Data
How long is camera data stored if I do not request a custom data retention period?
By default in the EU, unless specified in your contract or unless you have selected another custom data retention period, customers will have access to camera data uploaded to the cloud for 6 months. Outside of the EU, including in the U.S., unless you have selected another custom data retention period, by default customers will have access to camera data uploaded to the cloud for the duration of their customer contract.
What specific data constitutes camera data with respect to its data retention policy?
Custom camera data retention periods apply to camera images, video footage, and accompanying audio data (only if you have selected to turn on audio capture away from its default off setting) that have been uploaded to the Samsara cloud. Camera still images are uploaded to the cloud at two-minute intervals for each trip, and video clips (with accompanying audio data if you have selected to turn on audio capture) are uploaded to the cloud only in the case of a harsh event or upon customer request.
Selecting a custom camera data retention period does not impact the availability of data stored locally on the physical camera device. Camera data stored locally on the device is retained for only 24 hours of drive time (forward-facing cameras) or 40 hours of drive time (dual-facing cameras) and is continuously overwritten.
Will camera data retention policies impact the Safety Score or Safety Report?
No. While all of the underlying camera image, video, and audio data will be deleted, summary statistics, including the Safety Score, Safety Trends, and count of harsh events, will not be deleted.
Data Retention for HOS and DVIR Data Relevant to the U.S. FMCSA
What will be my default data access for HOS and DVIR data if I do not request a custom data retention period?
By default, U.S. customers will be able to access HOS and DVIR data for the duration of their customer contract.
What FMCSA data can I set custom data retention periods for?
You can currently customize FMCSA data retention policies only for HOS and DVIR data in the U.S.
What specific data constitutes HOS data with respect to its data retention policy?
For purposes of its data retention policy, HOS data includes the Driver HOS report, HOS report summary, HOS Violation report, HOS Audit Transfer, Unassigned HOS report, any HOS data from the driver record page, and any alerts with Driver HOS violations on the dashboard. Driver association with trips is unaffected.
What specific data constitutes DVIR data with respect to its data retention policy?
For purposes of its data retention policy, DVIR data includes Driver Vehicle Inspection Reports, any DVIR data from the driver record page, and any DVIR alert data.
